Vehicle Movement Policy
Purpose
Offset Show welcomes thousands of visitors, exhibitors and vehicles to the event each year. The safety of all attendees remains our highest priority.
Due to the high volume of pedestrian traffic throughout the venue during public opening hours, vehicle movements within exhibition and display areas present a significant safety risk. This Vehicle Movement Policy has therefore been implemented to minimise the risk of vehicle and pedestrian interaction and to ensure the safe operation of the event.
This policy applies to all exhibited vehicles, including club display vehicles, showcase vehicles, performance display vehicles, invited vehicles, trade exhibitors and partner displays.
Vehicle Movement Restrictions
Once a vehicle has been positioned within an exhibition or display area and the event has opened to the public, vehicle movements are prohibited unless authorised by Event Control.
This restriction applies to all exhibition areas, display zones, paddocks, club exhibition zones, showcase areas and trade display areas.
Vehicle movements are restricted due to the large number of pedestrians present throughout the venue and the associated health and safety risks.
Standard Departure Time
Exhibited vehicles are expected to remain on display until the official event closing time.
Unless otherwise advised, vehicle departures may commence from 4:00pm onwards, subject to instructions from Event Control and event marshals.
Drivers should plan their attendance accordingly and only book exhibition spaces if they are able to remain on site for the duration of the event.
Early Departure Requests
Offset Show recognises that unforeseen circumstances may occasionally require a vehicle to leave the venue before the official event closing time.
Drivers requiring an early departure must report to the designated Marshal Control Point or Event Control office.
Vehicles must not leave their display area without prior authorisation.
Upon receiving a request, Event Control will assess:
- Pedestrian density within the surrounding area.
- Available vehicle exit routes.
- Current operational conditions.
- Any additional safety considerations.
Event Control reserves the right to delay vehicle movement until a safe departure route and time can be established.
Marshal Escort Procedure
Where an early departure is approved, the vehicle may be required to be escorted by an authorised event marshal.
Drivers must follow all instructions issued by marshals, security personnel and Event Control staff.
Where instructed:
- Hazard warning lights must be activated.
- Vehicles must travel at walking pace.
- Vehicles must stop immediately upon instruction.
- Alternative exit routes may be used.
Failure to comply with marshal instructions may result in the vehicle being stopped and further action being taken.
Emergency Departures
In the event of a genuine emergency requiring immediate departure, drivers should notify Event Control or the nearest event marshal as soon as possible.
Event staff will assist in facilitating a safe departure wherever reasonably practicable.
Emergency departures remain subject to safe vehicle movement procedures.
Prohibited Behaviour
The following actions are strictly prohibited:
- Moving a vehicle without authorisation during public opening hours.
- Driving through pedestrian areas without marshal approval.
- Ignoring instructions from event staff.
- Excessive speed, aggressive driving or unnecessary revving.
- Removing barriers, fencing or safety equipment.
- Attempting to create an unauthorised exit route.
Any behaviour deemed unsafe by Event Control may result in immediate removal from the event.
Future Event Participation
Unauthorised vehicle movements are treated as a serious breach of event safety procedures.
Offset Show reserves the right to:
- Refuse future exhibition applications.
- Remove exhibition privileges.
- Revoke invitations to showcase areas.
- Restrict future participation in club exhibition zones and vehicle displays.
These measures exist solely to protect the safety of attendees, exhibitors, staff and contractors.
Acceptance of Policy
By booking an exhibition space, display vehicle pass, club exhibition space or any other exhibited vehicle entry, participants acknowledge and agree to comply with this Vehicle Movement Policy.
Failure to comply may result in action being taken by Event Control in the interests of public safety.
